Privacy Policy

Effective Date: 07/25/2026

Last Updated: 08/05/26

This Privacy Policy explains what information Hospice Guidebook ("we," "us") collects when you use hospiceguidebook.com (the "Site"), how we use it, and the choices available to you. It applies to visitors searching our directory, and to hospice providers who create an account to claim and manage a listing.

1. Information We Collect

Information you provide directly:

  • Claim a listing and contact form submissions — name, business email, and phone number, when a provider claims a listing

  • Account registration details for logged-in members

  • Content you submit as a subscribing provider — descriptions, photos, and service details for your listing

  • Payment information when subscribing to a paid tier — processed directly by our payment provider (Wix Payments); we do not receive or store your full card number

Information collected automatically:

  • Standard technical/browsing data (such as pages visited and general device/browser information), collected on our behalf by our hosting provider, Wix

  • A small browser storage marker confirming you've accepted these Terms, so you aren't asked again on every visit

  • If you choose "Accept All" in our cookie preferences: anonymous analytics data about how visitors use the Site, via [GOOGLE ANALYTICS 4 — CONFIRM ACTIVE BEFORE PUBLISHING]

2. Cookies and Similar Technologies

  • Strictly necessary storage — used to remember your Terms acceptance and your cookie preference choice itself. This is required for the Site to function correctly and is not subject to opt-out.

  • Optional analytics storage — used only if you select "Accept All" in our cookie preference prompt. We use Google Analytics (GA4) to understand how visitors use the Site, so we can improve it. If you select "Necessary Only," no analytics tracking occurs.

  • We do not currently use advertising/tracking pixels; if this changes, we will update this policy and this section before any such technology is enabled

  • You can change your cookie preference at any time using the "Cookie Preferences" link in the Site footer.

3. How We Use Information

  • To operate and maintain the directory, including displaying claimed listings and processing subscriptions

  • To respond to correction reports, support requests, and provider claim submissions

  • To maintain a record of Terms acceptance, for our own legal and operational purposes

  • To understand aggregate Site usage, only where analytics cookies have been accepted

  • We do not sell personal information, and we do not use your information for purposes unrelated to operating this Site.

4. How We Share Information

  • With service providers who help us operate the Site — currently Wix (hosting, CMS, and payment processing), Supabase (hosting of ZIP code / proximity-matching data used for directory search), and [GOOGLE ANALYTICS 4, IF ACTIVE]. These providers process information on our behalf and are not permitted to use it for their own independent purposes.

Public CMS directory data (provider names, addresses, CMS quality scores) is, by its nature, displayed publicly on the Site — this is federal public data, not personal information about visitors.

  • We do not share, rent, or sell visitor or provider personal information to third parties for their own marketing purposes.

  • We may disclose information if required by law, or to protect the rights, safety, or property of Hospice Guidebook or others.

5. Health-Related Information

  • Hospice Guidebook is an informational directory, not a healthcare provider. We do not collect medical records or protected health information about any specific patient.

  • Content on the Site (such as general educational pages about hospice care) is not personalized to you and does not involve you submitting information about your own or a family member's health condition.

  • [ATTORNEY REVIEW: confirm this section adequately addresses applicable state consumer health data laws given the Site's subject matter, including Washington's My Health My Data Act and any New York health-privacy legislation in effect at time of publishing.]

6. Data Retention

  • We retain claim and account information for as long as your account or subscription is active, plus [RETENTION PERIOD — e.g., 90 days] after closure, to resolve any outstanding disputes or support requests.

  • Terms acceptance records are retained for [RETENTION PERIOD — e.g., the life of the business relationship plus a reasonable period] to preserve evidence of consent.

7. Your Rights and Choices

  • You may request access to, correction of, or deletion of your personal information by contacting info@hospiceguidebook.com.

  • If you are a California resident, [CCPA RIGHTS LANGUAGE — TO BE CONFIRMED WITH ATTORNEY BASED ON WHETHER THE SITE CURRENTLY MEETS CCPA'S APPLICABILITY THRESHOLDS].

  • Residents of other states with comprehensive privacy laws may have similar rights; contact us and we will respond as appropriate to your jurisdiction.

8. Children's Privacy

  • The Site is not directed to children under 13, and we do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us so we can delete it.

9. Security

  • We rely on our hosting provider's security infrastructure and follow reasonable administrative practices to protect the information we control. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

10. Changes to This Policy

  • We may update this Privacy Policy from time to time. Material changes will be reflected by an updated effective date at the top of this page.
